Vital Ops is a client communication automation service for trades operators, operated by Vital Ops Services, based in Blind Bay, British Columbia, Canada. We can be reached at hello@vitalopsai.ca.
We collect the following information from our clients (trades operators) as part of providing the Vital Ops service:
We do not collect payment card information directly. Billing is handled through third-party processors.
We do not collect information from end clients (the people who receive SMS notifications). End client phone numbers are provided by the operator and used solely to deliver notifications on the operator's behalf.
We do not sell, share, or disclose personal information to third parties except as required to deliver the service — specifically SMS delivery via Twilio and calendar access via Google.
Vital Ops sends SMS messages to end clients on behalf of trades operators. These messages are transactional in nature — they notify clients of schedule changes, delays, or updates related to a booked appointment. By using Vital Ops, operators confirm they have obtained any necessary consent from their clients to receive SMS communications from their business.
Message frequency varies based on operator activity. Standard message and data rates may apply to recipients. Recipients may reply STOP to opt out of future messages from that operator's number.
Vital Ops uses the following third-party services to deliver its functionality:
Each of these providers maintains their own privacy and security standards. Client data is not shared beyond what is required for service delivery.
Client contact data is stored in a Google Sheet accessible only to the operator and Vital Ops. We take reasonable steps to protect this data from unauthorized access. All data is stored within systems that comply with industry-standard security practices.
We do not store SMS message content beyond what is required to confirm delivery.

We retain client and contact information for the duration of the service relationship. Upon cancellation, all personal data is deleted within 30 days of the final service date.
We may update this Privacy Policy from time to time. We will notify active clients by email at least 14 days before any material changes take effect. The effective date at the top of this page will reflect the most recent update.
